Overview

The Archive List is an older-style method to view/navigate your archive. We recommend using the Archive Browser.

Creating an archive

How do I create an archive

You can create an archive using two methods:
  1. Entering a folder name at the bottom of the Archive List page, or
  2. When uploading images, selecting "create new folder"" page.

You cannot create two archives with the same name. PhotoShelter will alert you with an error notice if you try to.

When in the Archive List, you can use the search box at the top of the page to quickly search the names and descriptions of an archive.

Are the images in the Archive List publicly searchable?

For your protection, and for the security of your archive, images within an archive are NOT automatically viewable by the public. In order to make your images viewable to others, you must explicitly make them publicly searchable by using the Batch Action Menu.

Images within an archive cannot be purchased by the public (as a print, or downloaded) unless you explicitly make them for sale.

How many archive folders can I create?

There is no limit to the number of archive folders you can create. Additionally, each folder can hold an unlimited number of images, as well as an unlimited number of folders. You are only constrained by the amount of storage space that you pay for.

How do I delete an archive?

From the Archive List page, click the "delete" link in the "Del" column. You will be prompted to confirm your deletion. Deleting an archive will permanently delete all the images contained within it as well as all associations to the images contained in galleries.. You should rarely, if ever, delete an archive. Once you delete an archive, there is no way to undo this action.

Viewing an Archive Folder

Sort

You can currently sort your images by Date added, File Name, or Date edited.

View Tagged Images or All Images

When going through your archive you can 'tag' images by pressing T while you are looking at an image.

Selecting Images

You can select images by pressing anywhere under the thumbnail (not just the small checkbox). Or to select in batch, you can select "Viewable" (all the images on the current page), All (all images in the folder). To deselect press "none".

To rename a folder, simply click on the archive folder name and edit the text, then press save. (Click2Edit Technology)

Folder Description

The folder's description is for internal purposes only and just use Click2Edit technology to change the field.

# of Images on a Page

Images contained within an archive are displayed as thumbnails. You can change the number of thumbnails on the page by clicking the "Images Per Page" links at the bottom left of the page. The valid choices are 10, 25, and 50 images per page. We cap the maximum number of images at 50 to maximize the speed and performance of the page.

When you click on the "Images Per Page" links, PhotoShelter™ remembers this as a user preferences. Any other archives or galleries that you view will use this preference. You can change the preference by clicking a different number.

If the number of images in your archive exceeds the number of images per page, you can move between various "pages" of an archive by:

  • Clicking the right and left arrows located at the top and bottom of each thumbnail set.
  • Using the pull down menu to the right of the arrows.

If an image's name is longer than 16 characters, PhotoShelter™ only displays the first 12 characters of the name, and the extension (e.g. .jpg) will not be shown. This is to maintain a reasonable screen width. The file name is NOT altered.

Viewing an Image

Overview

When you click on an image, and you're looking at it, to the right of the image is a tabbed folder display of information.

General

Contains General Info about the image including file size, if it's publicly searchable, priced, etc...

IPTC

Contains the IPTC data of image (which automatically accompanies the image when you upload to PhotoShelter). You can change the IPTC data here too.

EXIF

Contains the EXIF data of the image

STATS

Shows how many times the image has been viewed. Also, shows who downloaded it, at what time, their IP address and more info.

Image Search

Use the Image Search to find archival images located within your archive using a variety of different criteria. This mechanism searches all the images within your archive, not just those marked "Publicly Searchable."
